The Association Planners of
Georgia (APG)
has the capacity and experience to organize individual events
ranging in size from 20 to 3,000 attendees. APG also manages
regularly scheduled events throughout the year and is equipped to
perform key administrative functions for professional associations.
In short, APG “takes the worry” out of the detailed planning
necessary for our clients to have a successful association meeting
or special event.
Aside from the ability to efficiently organize and
perform the onsite management of association and special events, APG
has a proven track record of handling daily administrative and

successful, effective, well-budgeted event. We customize our

APG can also provide the following services:
APG’s Role
APG’s role can be customized to give maximum support to your
organization or association. For example, one of my clients is The
Indus Entrepreneurs (TiE) Atlanta. For TiE Atlanta, I function as
the Executive Director. Their contact person provides APG with the
speaker’s name and contact information. We then contact the speaker
for a bio and meeting topic. This information is passed to our
public relations company to issue a press release, sent to the
printer for the brochure layout, and shipped to the company that
handles the TiE web site. APG ensures that the information is
coordinated, proof-read, and processed in a timely manner.
APG can also coordinate all contracts and proposals for catering,
for audio-visual requirements, for venue layout, and for any detail
necessary for the success of your event. Other support activities
include database maintenance, email blasts to advertise your
meeting/event, reminders to sponsors, and communication with
speakers, panelists, vendors or anyone who is connected to the
event. We ensure that they understand their responsibilities, the
logistics, and have everything they need to arrive on time and ready
for their role in delivering a successful presentation for your
organization.
If APG is chosen to support your meeting or event, we start to
ensure success by immediately implementing a thorough communication
strategy. We promptly respond to any requests for information about
your event. And, throughout the support process, I communicate often
with your executive committee to keep them updated.
On the date of your event, APG representatives
typically arrive a minimum of 2 hours prior to the start of the
meeting. We bring all registration materials and either the APG site
coordinator or I review your association’s needs with the venue
representative. We make sure that the layout and specifications are
exactly as you requested. As event time nears, my qualified, trained
staff is stationed to handle nametags, memberships, entrance fees,
questions, and updates to your association’s onsite contact person.
After the event, we provide a one page recap report
that covers the number and name of attendees, payments collected,
and a summary of event evaluations, if evaluations are requested.
All funds are handled securely and will be promptly submitted to
your association. From the recap report, APG has the ability to
update your association’s database and begin preparation for your
next scheduled event.
